Create, distribute, and manage accounts, sub accounts, payers, and vendors at the network level in Finance

You can now create, distribute, and manage accounts, sub accounts, payers, and vendors at the network level. Here are the details: If you have distributed an account, sub account, payer, or vendor to a site, the sites will see them but can not make changes. If accounts, payers, or vendors are not assigned to a site, that site will not see them.

Permission updates

To accompany these new updates, we are in the process of renaming the current Network Finance permission to Setup and Accounting. In the meantime, the current Network Finance permission will not display in Admin, but you will still have the same permissions. The change will mirror the site-level Setup and Accounting.

Create an account

To create an account, begin at the network level: In the top right dropdown, make sure you start at the network level indicated with a network icon. Choose Accounts on the top left, under the Setup tab.

Accounts page

The Accounts page has a toggle for active and archived and displays the Account Name, Account ID, Department Code, Contact, and Creation Date. You can add, export, archive, and delete. In addition, you can take bulk actions.

To create an account:

  1. In the top right, click +Add Account.

  2. Enter the required name under Account Name.

  3. You can also enter information under Account ID, Contact, and Creation Date.

  1. Click Save Account in the top right. The account now displays on the Accounts page.

You can archive or delete accounts by clicking the archive icon or trash can icon on the far right. Archived accounts are accessed by clicking the Archived Accounts toggle in the top left.

Take bulk actions: Distribute to sites

You can also take bulk actions like archive, delete, and distribute to sites for all of your network level accounts.

To distribute the account to a site/s:

  1. Click the check box to the left of the account to select it.

  2. In the top right under the Actions dropdown, choose Distribute to Sites.

  1. In the popup, you can distribute the account to a site/s by clicking the checkbox next to the site/s.

  2. Click Distribute to distribute and display at the site.

Sites can now see account updates you distribute right away. Network Managed is displayed below the account name, but sites can not modify these accounts.

Make updates to accounts

You can make updates to existing network-created accounts, and those updates will apply right away to sites that have that account.

To make an update:

  1. From the Accounts page, click on the name of the account you want to edit.

  2. Make any edits to the Account Name, Account ID, Contact, or Creation Date.

  3. In the top right, click Save Account. Updates will be saved on the Accounts page and will automatically be updated at the site level.

Create new sub accounts

You can also create sub accounts that are associated with accounts:

  1. From the Accounts page, click on an account name on the left.

  2. Click Add Sub Account in the top right. Provide the Account Name, Sub Account ID, Department Code, Contact, and Creation Date.

  3. Click the green checkmark in the far right to save the sub account.

  4. In the top right, click Save Account.

Once a sub account has been distributed to a site, you can make edits to the sub account and those edits will automatically display at the site once saved.

Bulk import a study team

You can now bulk import a study team via CSV.

  1. From the Profile tab of a study, click the Site Team toggle.

  2. To ensure the CSV is in the proper format, use the template provided by clicking Download Template.

  3. Enter all the first names, last names, start dates, and end dates on the template.

  4. Once you save the template as CSV, click Import in the top right.

  5. In the popup, click Browse and find the CSV you just saved.

  6. Click Upload to import.

Bulk export site team members

You can bulk export site team members to Excel by clicking Export in the top right. The name, role at the site, role on the study, start date, and end date will display.

This feature can also help you update multiple data points at once. For example, if you export the list to Excel, you can make several updates like: adding end dates for two employees, adding a new team member, and updating an existing start date that is incorrect. Then, you can save and re-import as CSV to make your updates to TrialPath.

Bulk update start and end dates for site teams

You can update start and end dates for site teams in bulk.

  1. Click the checkbox at the top of the Person column to select all members.

  2. In the top right, click the Actions dropdown and choose Bulk Edit Dates.

  1. In the Bulk Edit Dates popup, enter the start and end dates.

  2. Click Save Dates in the bottom right.

Bulk uncomplete activities within participant visits

You can now bulk uncomplete one or all of a participant’s activities. From a participant's visit schedule, to uncomplete activities:

  1. Scroll down to the Activities.

  2. You can select one activity or multiple activities by clicking the checkbox next to the activity or activities.

  3. In the top right, click the Actions dropdown and choose Bulk Edit Activities.

  1. A popup displays the list of activities you selected.

  2. In the top right corner, click Uncomplete. In the bottom right, click Save Activities.
